Add part notes

Part notes specify both general comments and the procurability status and procurability options for a part. Part notes appear as an icon (Part Note icon) in the BOM Details parts grid. Part notes can be exported, emailed to managers of BOMs that include (or match) a given part, output to an advanced custom report, or copied to the same part (or a matched part) across multiple BOMs. In order to add or edit part notes, you must be the BOM owner or administrator.

Launch the part note modal window when viewing a BOM in the BOM Tree Parts view, or the View Single BOM: BOM Details tab.

  • Select the part for which to create or edit a part note (Select Row), and then click either Add > Add Part Note, or Modify > Edit Part Note.
    You cannot add a part note to more than one part at a time, and the above options remain inactive.

The Part Note modal window appears.

  1. Using the Add Comment tab of the Part Note modal window, type comments to new or existing part notes for a total of up to 4,000 characters.
  2. Click Save.

The comments typed are moved from the Add Comment tab to the Previous Comments tab. The date, time, and user account name appears above the comment.

Other part notes options that appear in the toolbar such as Export, Email, and Copy become active.

Notes are associated with various parts within the BOM. Part notes define whether a part can be procured, and the part note icons are colored accordingly:

  • white - no status defined (related info code: O);
  • green - procurable (related info code: M);
  • gray - resolution in progress, or unknown (related info code: U);
  • blue - resolved (related info code: S);
  • red - unprocurable (related info code: W);
  • yellow - unprocurable with alternates (related info code: V).
  • Using the Status tab of the Part Note modal window, type and select an optional Case Number for tracking, procurability and material planning details. The Case Number field is also available in the list of attributes in custom report templates, and is included when copying, emailing, and exporting part notes.
  • Using the Previous Comments tab of the Part Notes modal window, view comments BOM Intelligence users added for a part.
    Drag the slider in the right-hand side of the display pane to scroll to older comments.

Export data from both the Status and Previous Comments tabs in TXT format, which can be displayed in any application that can display ASCII text.

  • With the Part Note modal window displayed, click Export.
    This option only becomes active when you save a new note, or are viewing or modifying an existing part note.

Email part notes from the Part Note modal window to managers of BOMs that contain parts that match the part for which you created the part note.

  1. With the Part Note modal window displayed, click Email.
    This option only becomes active after you create and save a new part note, or when you are viewing or modifying an existing part note.

The Email Part Note modal window appears.

  1. Select from the following part matching options:
    • Match on Internal Part Number - only owners and managers of BOMs that use this specific internal part number.
    • Match on Internal and Imported Manufacturer Part - only owners and managers of BOMs that use both the specific internal part number and the part number supplied by the manager and manager name.
    • Match on Imported Manufacturer Part - only owners and managers of BOMs that use the specific part number supplied by the manager and the manager name.
  2. Click Yes, Email this Part Note.

This option only becomes active after you save a new part note, or are viewing or modifying an existing part note.

Copy an existing part note to multiple parts on either the same BOM or other BOMs.

  1. With the Part Note modal window displayed, click Copy.
    This option only becomes active after you save a new part note, or are viewing or modifying an existing part note.

The Copy Part Note modal window appears.

  1. Select from the following Copy Options:
    • Copy Part Note and assign to all matching Parts on this BOM - create a copy of the existing part note and attach it to any parts in the current BOM that meet the matching options below. If multiple matching parts are found, a unique copy of the part note is attached to each part so that the part notes can be changed individually.
    • Copy Part Note and assign to all matching Parts on all of my BOMs - create a copy of the existing part note and attach it to any parts across all of your BOMs that meet the matching options below. If multiple matching parts are found, a unique copy of the part note is attached to each part so that the part notes can be changed individually.
  2. Select from the following Matching Part Options, which defines the criteria to use when copying the part note to parts on the current BOM, or across all of your BOMs:
    • Match on Internal Part Number - only owners and managers of BOMs that use this specific internal part number.
    • Match on Internal Part Number and Imported Manufacturer Part - only owners and managers of BOMs that use both the specific internal part number and the part number supplied by the manager and manager name.
    • Match on Imported Manufacturer Part - only owners and managers of BOMs that use the specific part number supplied by the manager and the manager name.
  3. Click Yes, Copy this Part Note.

This option only becomes active after you save a new part note, or are viewing or modifying an existing part note.

When deleting a part note that is copied across multiple BOMs, only the part note attached to the current BOM that you are working with is deleted. The Delete option is only available after the part note is saved.

  • Click Reset to display a confirmation modal window, where you click Yes to reset all the fields to the default selections if creating a new part note, or to revert them to the last saved settings if modifying an existing part note.
  • Click Delete to display a confirmation modal window, where you click Yes to delete the part note from the current BOM.
